How to Convert Publisher Files to PDF
Export a Publisher document to PDF, choose an output suitable for reading or printing, and check pages, fonts and size before sharing or archiving.

With working Publisher access, open the publication and export or save it as PDF. Choose settings for the intended use, then open the PDF separately and inspect it. If Publisher is unavailable, use a compatible route that explicitly offers PDF output; the RemPress browser converter currently downloads an editable RemPress project.
Decide how the PDF will be used
A small file for email and a file for a commercial printer can need different output settings. Ask the recipient what they require before exporting. In particular, establish whether a printer wants individual pages or spreads, trim marks or bleed, and a particular colour or PDF specification.
Do not treat a preset name as a universal production guarantee. The PDF must match the job. A folded order of service, an A4 notice and a sheet of labels have different acceptance checks even if all three use the same file extension.
Export from Publisher
- Open the source Open a copy of the publication and resolve obvious missing content first.
- Choose PDF output In current supported Publisher interfaces, use File > Export > Create PDF/XPS Document. Save As also offers PDF in applicable versions.
- Choose the destination Give the PDF a useful filename and save it outside the source folder if that makes versions clearer.
- Set output options Choose an option appropriate to screen distribution or printing, following the recipient’s requirements.
- Create and inspect Publish the PDF, then open that actual file in a separate viewer.
Check the actual exported file
Look through all pages, not only the cover. Compare the first and last lines of text boxes, small captions, symbols and pictures close to the edges. A successful export message only confirms that a file was produced; it does not certify the design.
Check page dimensions in the viewer’s document information or print dialogue. Confirm the page count and order. For exact-size printing, use a controlled test print and measure a known feature. Automatic fitting in the viewer or printer driver can change the physical result even when the PDF itself is the correct size.
- Correct publication and version
- All intended pages present
- Expected page size and orientation
- No missing text, symbols or pictures
- Readable small text and acceptable image quality
- Correct page order or fold arrangement
- No unwanted marks or unintended blank pages
When Publisher is not available
First ask the document owner whether a reviewed PDF already exists. If the design is still active, ask for both the PDF reference and original source. That can be quicker and more reliable than reconstructing an unfamiliar file from scratch.
If using a converter, confirm its output type before providing a document. The RemPress browser converter recovers supported content into a .rempress project; it does not directly provide a PDF download. You can use RemPress on Windows to inspect that project and use an available print or export route appropriate to your requirements. Check the resulting PDF independently, and do not assume specialist press features are supported.
If the PDF is different from the original
Work from the symptom. Missing lines suggest text overflow or a font change. Soft photographs suggest low-resolution sources or an output setting unsuitable for enlargement. Unexpected white edges can be page geometry or a print setting rather than a failed conversion.
Change one factor at a time and save each diagnostic output under a different name. Compare against the same source version. If you alter the design and export settings together, you may no longer know which change fixed or caused the difference.
Keep the editable source alongside the PDF
A PDF is a useful reference and distribution copy, but it may be an awkward starting point for a future redesign. Keep the PUB source, relevant assets and any accepted native project. Add a date or approval status so the archive identifies which PDF corresponds to which source.
For a price list, for example, change the master before creating the next output. If somebody edits only the PDF, record that divergence or bring the correction back into the editable project. Otherwise the next export can accidentally restore an old price.
PDF questions
Can I rename a PUB file to PDF? No. The contents need to be exported or converted, not merely relabelled.
Does PDF mean every item remains separately editable? No. Check the output and intended editing application. A PDF can contain selectable text without preserving the original Publisher layout structure.
Can I export hundreds of files together? That depends on the chosen workflow and its dependencies. Plan a pilot and review process before running a large job.
